Western Riders of Virginia January meeting minutes: 

Our new monthly meeting day will be the 4th Tuesday of the month.  Fridays never received a good turnout for  meetings.  People were always so busy getting ready for horse shows or unwinding from the work week. Also everyone seems

to be a little less busy towards the end of the month.

 

 We still plan to have our shows on the first Saturday of every month.  July will be the exception.  In 2009, we moved the first show in July from July 4th, Independence Day weekend, to the following weekend and it seemed to work well as far as turnout to the show. Our first show of the year will be Saturday, April 3rd.

 

Our current membership roster for 2009 includes 49 family memberships and 32 single memberships.  This is a reminder that it is time to RENEW your memberships for 2010 ... However; all memberships have been extended till then end of this month, February 28th, so that all 2009 members will have the opportunity to vote on the new leadership team.  This has been a long process... people's lives are so busy and overly committed these days... we thank all of you who have agreed to serve WRV for the New Year.  The slate is as follows:

Jean Kehnle gave the treasurers report.  Our current checking account balance is $5.936.62.   Around $2,000 will go out towards remaining year end awards still to be paid for... so we are on a VERY good financial start for the New Year.

 

The Western Riders banquet will be held on Sunday, February 21st at the club house at Western Riders at 5:30pm in the afternoon.   Everyone will receive an evite shortly. Once you respond, the Banquet committee will contact you on what to bring.  The Club will provide the main dish, a beef loin and probably a potato bar or something similar.  Everyone else will be asked to bring things like salad, drinks, deserts, etc

Due to the amount of trespass on the property, and because of legal ramifications, it was voted to put up a gate on the driveway to WRV with a lock.  The lock will be an easy push button style lock or similar, where members will be given a code to enter the gate and the facility.  The code will change monthly or as needed, and members will be responsible for opening and closing the gate behind themselves. Katina Blackstone has a gate to donate to the club, Rhonda Foster will donate the lock and Jodi Chapman and Gary Chapman have the equipment to put the gate in.  We will get this under weight soon and all members will be notified when it is up.  You will also be notified via email of the monthly code change, or call Danny if you need an update at 804-539-5727

 

We are planning to have another "quick glance card" this year with all of the show dates on it for a quick and easy reference to important dates.

 

It is that time of year for putting together our annual ad book.  Bonnie Vezzi volunteered to head up the book this year.  She told members at the meeting that she has experience producing these kind of books as well as the time in her retirement. (Lucky girl! :-)   We will be getting out information in the near future to help members sell ads for the book including ad forms. This is one of Western Riders most important fundraisers of the year. 

 

The process this year will entail members selling the ad, collecting the art work AND the money BEFORE turning it in to Bonnie.  Bonnie will take the ad form and art work on disk/CD/memory stick, mark that the payment was received for the ad, and then pass the money to Jean Kehnle for deposit to the treasury.  Ads turned in with money not collected will not be published in the ad book. 

 

Ads are inexpensive and a great way to get you in front of a great audience.  Ad books contain show schedules, dates and show

rules and are handed out at each show.  Ad rates are $25 for a business card size entry, $50 for a half page, and $75 for a full page.

 

Last years fundraisers were successful and we would like to do more this year.  We had 50/50 raffle during the shows, raffle for Cavalia tickets and limo ride, and the show pictures that were taken by one of our members. 

 

We are going to start THIS years fund raising campaign with a raffle similar to what the High School Rodeo does (Thank you Julie Rice for the suggestion!)  Each member will be asked to sell a book of 10 tickets at $5 a piece to win a cash prize.  Members will have till mid-show season to sell all of their tickets, June or July..  We also want to consider awarding prizes to the 1st, 2nd, and 3rd place members who sell the most tickets.  Bonnie Vezzi also graciously offered to help produce the ticket books. 

Another member mentioned possible having "clinics" at the show grounds to raise money. 

There will be a new feature to the show class entry forms this year.  A box will be present on the form that an entrant can "check" or mark off if they DO NOT want any points they receive, from winning a class, to go towards earning a year end award in that division.

 

This gives a member an opportunity to focus on one division of discipline they truly want to compete in, without having to sacrifice by NOT riding in, or sharpening their skills in.. ANOTHER area of riding. If you choose not to have your points apply, you will still be eligible for ribbons and money paid out in the class.  You will NOT later be able to reclaim those points, once that box is checked, under ANY circumstance.  Nor will you be able to tell us later that you did not want the points to apply and you "forgot" to check the box.  So those of you who send a third party to fill out your entry forms, beware!  Once the show day has ended, the form is as stands.

 

We also discussed that the Leadline Barrel pattern will be reduced in size to save time in the running of this class.

  

Discussions were made pertaining to by-laws and show classes.  This topic will be covered on an on going basis.
